Executive Assistant to CEO
Great Performances, New York's premier catering, and event planning company has an exceptional opportunity for an experienced Executive Assistant to support the company's CEO. We are looking for an outgoing and professional candidate with a minimum of 3 years' experience in a senior administrative or executive assistant role. The ideal individual would have supported a senior executive, ideally in the hospitality, restaurant or entertainment industry.
The successful candidate will have excellent communication skills, be an independent thinker, a team player, able to think on his/her feet, a quick decision-maker, and be extremely attentive to detail. In addition, must have excellent verbal, written and phone skills to engage clients, vendors, company managers and employees. The ideal candidate will be flexible and have the ability to multi-task in our fast-paced, evolving environment.
Compose letters and emails on a regular basis
Support CEO's communications with affiliations and board commitments
Coordinate CEO's calendar and schedule meetings, appointments, and phone calls
complete paperwork, including RSVP's, ticket purchases, event sponsorships, donations, memberships, subscriptions, etc.
Prepare and distribute individual or mass client gifts
Will be trained on Filemaker, CaterXpert and other similar computer programs.
Input and manage data from photo libraries, client information, business statistics, etc.
Must have excellent writing and editing skills
Experience successfully working within a team culture
Highly organized, detail-oriented, keen judgment, independent but also collaborative
Excellent interpersonal and communication skills
Administrative experience (and enthusiasm!) required, desire to learn new skills
Tech and systems savvy (Microsoft Suite, various database software, sales management, Google docs, social media etc.)
A college degree is preferred but not required
Must exercise good judgment in determining workflow, priorities, and deadlines
This is a full-time position, additional office hours may be required
